The 5 Night Audit Mistakes That Kill CLC Revenue Recovery

Night audit is the last line of defense for catching CLC billing errors before they become permanent revenue losses. Unfortunately, it's also where most of these errors originate. After auditing thousands of CLC transactions, here are the five night audit mistakes we see most often.

Mistake one: batch-processing CLC cards with regular credit cards. CLC virtual cards require different handling — specific authorization amounts, date-sensitive windows, and card-type-specific procedures. When night auditors lump them in with standard Visa and Mastercard settlements, the nuances get missed and charges fail silently.

Mistake two: not verifying the authorization amount before posting. The amount on the CLC virtual card may differ from the PMS rate by a few dollars due to tax calculations, rate code updates, or negotiated rate changes. Posting the PMS amount without checking the card's authorized limit results in either a decline or a short payment.

Mistake three: processing charges outside the valid date window. Every CLC card has a strict activation and expiration window. If night audit doesn't run until 3 AM and the card expired at midnight on checkout day, the charge fails. On busy nights when audit runs late, this compounds rapidly.

Mistake four: ignoring declined transaction reports. Most PMS systems generate a declined transactions report, but many night auditors either skip it or don't know what to do with CLC-specific declines. Those transactions need immediate attention — every day you wait shrinks your recovery window.

Mistake five: not flagging CheckINN vs CrewFax card types. These two CLC products require different billing procedures. Processing a CrewFax card as a CheckINN — or vice versa — almost always triggers a decline.
